The Program Reservationist and Administrator coordinates administration, organizes, handles registration, and maintains records for programs under minimal supervision; acts as the primary contact point for schools and special programs; extensive use of computer and telephone and considerable contact with the public. This position reports directly to the Director of Programs.

Essential Roles and Responsibilities:

  • Serve as primary information and registration contact point for all program customers (public schools, private schools, charter schools, community groups, etc.)
  • Manage the program schedule and calendar, including booking groups and assigning staff, interns, and volunteers, reserving vehicles, etc., for all programs.
  • Provide administrative support to the department, such as record keeping, grant tracking, petty cash, invoice/payment processing, correspondence, supply ordering, travel arrangements, bookings, etc.
  • Assist in various phases of program planning.
  • Process cancellations and handle correspondence and mailings.
  • Assist in the coordination of special events.
  • Prepare and process correspondence and bulk mailings regarding programs.
  • Partner as necessary with outside entities to promote programs.
  • Participate in organizational special events outside of the department.
  • Responsible for educational staff turning in timesheets and reviewing accuracy for projects charged.
  • Maintain and review records for costs of departmental programs/events and revenue generated to review cost-effectiveness to run.

Qualifications:

Knowledge, skills, and ability—

  • Strong commitment to the conservation of North Carolina’s natural environment.
  • In-depth computer skills are essential, including word processing and spreadsheets. MS Word and Excel are preferred. CRM experience is a plus
  • Professional phone and customer service skills; excellent written and verbal communication skills
  • Excellent organizational promotional skills with strong attention to detail and record-keeping
  • Demonstrated ability to multitask, manage information, prioritize duties, and follow through with details
  • Demonstrated ability to work with and transact business with people of all ages and diverse backgrounds
  • Team player and self-starter
  • Excellent verbal and written communication skills
  • Excellent collaboration skills, organizational skills, and astute attention to detail
  • Experience working in a non-profit organization with volunteers and special events preferred

Education or formal training

  • An Associate's Degree or higher is required.

 

Experience

  • 3-5 years in one or more of the following areas: reservationist, manager/assistant manager/office manager/project manager, customer service, sales, executive assistant, or receptionist, with working knowledge of general office procedures and effective writing skills.
  • Knowledge of environmental education or informal science programs is preferred.

 

PHYSICAL DEMANDS, WORK ENVIRONMENT, AND WORKING CONDITIONS:

Work Environment

  • This is a work-from-home, remote role, with some travel to our regional offices and throughout NC. The Program Reservationist and Administrator is provided with a laptop computer and is asked to maintain consistent at-home office hours and schedules while working independently and remotely with Muddy Sneakers’ staff. This position must be able to work independently and integrate into major donor and professional corporate environments.
  • The Program Reservationist and Administrator is expected to work regularly with customers, partners, and the Muddy Sneakers’ team throughout the state of NC.
  • Regular Monday–Friday office hours are required; some evening and weekend work may be scheduled.

 

Physical Demands

  • Possible moving of boxes that contain office and other materials (not a requirement).

Compensation Information

Hours: Full-time exempt (35 hrs/week) M-F, 10am-3pm “office hours” with flexible scheduling options beyond these hours. Some nights and weekends throughout the year.

Compensation: $40,000 - $45,000
