Summary
Merry Lea Environmental Learning Center of Goshen College is seeking to fill the position of Office Manager. Merry Lea is located near Wolf Lake, Indiana, approximately 30 miles south of the Goshen College campus. The Office Manager is responsible for ensuring that office operations of our programmatically diverse organization are performed in a seamless and efficient manner. This position also supports customer and community relations activities for our organization. Primary responsibilities include completing clerical tasks (e.g., mailing/shipping, office supply inventory/acquisition, paying bills, communicating with office machine vendors, etc.), assisting with financial record keeping and income collection, managing the Merry Lea donor database, serving as a first point of contact for various public audiences (e.g., general public, parents, teachers, collegiate students, vendors/contractors, etc.), supporting registration for environmental education and public programs, providing general support to visitors, managing facility reservations and rentals, managing two on-site libraries, overseeing implementation of organizational calendars, serving in a leadership capacity in the coordination of general in-house and public events, liaising with the Goshen College campus, and managing inventory and sales related to the Merry Lea store.
Essential Functions:
- Managing Office Operations
- Maintain office functions by receiving visitors, answering telephone, maintaining adequate office supply inventories, collecting and distributing USPS and campus mail, and arranging for repair of office equipment.
- Coordinate Merry Lea calendars, including facilitating an annual planning meeting with key staff members.
- Provide clerical support to the Executive Director by preparing documents upon request, record keeping, filing, mailing, and maintaining supplies of printed materials.
- Takes minutes at meetings, as assigned by the Executive Director.
- Assist with financial record keeping related to the office, public and PreK-12 programming, including collecting and depositing income.
- Manage Merry Lea bookstore, including order/manage inventory, set up displays, and organize off-site sales.
- Maintain libraries at the Learning Center and Rieth Village by entering circulation data in Goshen College’s web-based catalog, shelving books, filing magazines, communicating with the GC Good Library, and serving as the courier to facilitate the transportation of interlibrary loans to and from Merry Lea.
- Maintain the Merry Lea donor database, and assist with distribution of thank you letters and donation solicitation letters in consultation with the Executive Director.
- Oversee periodic cleaning of the kitchenette and refrigerator at the Learning Center and the refrigerators in the Kesling Farmstead kitchens, and laundering towels/linens.
- Provide proofreading and editing support for Executive Director and Associate Director of Communications and Marketing.
- Ensure that brochure racks and information boxes at trailheads are stocked.
- Customer and Stakeholder Relations
- Provide registration support for Merry Lea programs and events, including helping to manage our online registration system, answering basic visitor/participant inquiries, connecting customers with the appropriate program facilitators as needed, and processing credit card payments upon request.
- Support delivery of programs, especially public programs and special events.
- Assist with special event planning and implementation, including food/meal planning and preparation for special events such as the annual Volunteer Recognition Dinner and annual Friends Lunch.
- Support engagement with key stakeholders including volunteers, Friends of Merry Lea, public program participants, and potential donors.
- Market/solicit facility rentals; schedule building rentals and usage, manage contracts, and collect rental fees from renters.
- Coordinate facility preparation related to rentals, including cleaning of rental spaces, ensuring that cleaning has been completed following rentals, and notifying maintenance staff of items that may need to be repaired or replaced.

Education and/or Experience:
Associate’s degree and 3+ years of job-related experience required; Bachelor’s degree preferred
Certifications, Licenses, Registrations:
Valid driver’s license (Indiana)
Skills Required:
Excellent interpersonal and writing skills, word processing, database management, receiving/logging/tracking payments, basic financial management literacy, organizational abilities, hosting capabilities.
Physical Demands:
Listening, writing, computer, and telephone use. Office work, accessing Merry Lea programming locations.
Work Environment/Environmental Condition:
Primarily indoor or moderate outdoor environmental conditions, but may include occasional work outside where there may be exposure to inclement weather, exposure to pollen and spores, venomous snakes, ticks, biting insects and other elements that are part of an intentionally natural environment.

Compensation Information
This is a full-time, salaried exempt position. The annual salary is $37,730 with full benefits, plus $500/year professional development allowance and $200/year salary increase following every completed year of employment at Goshen College. Benefits include, but are not limited to, medical (100% of employee’s premium paid by Goshen College), dental, vision, life, long-term disability, retirement, vacation and sick days, and paid holidays.
