The Hobe Sound Nature Center is a small, community-focused nonprofit organization that works through a cooperative agreement with the Nathaniel P. Reed Hobe Sound National Wildlife Refuge to educate, inspire, and empower people of all ages to protect and conserve South Florida’s unique, critical habitats and wildlife.
POSITION OVERVIEW
The Operations Coordinator is a full-time, on-site position that provides essential support to ensure the smooth, efficient operation of our small but active Nature Center and Wildlife Refuge. The individual in this role will work closely with the Executive Director and other team members to maintain efficient systems, enhance organizational efficacy, and ensure exceptional programming and visitor experience.
The ideal candidate is an organized, welcoming, detail-oriented, hands-on leader, comfortable juggling multiple priorities in a dynamic, mission-driven environment, with a passion for transformative environmental education.
KEY RESPONSIBILITIES
Facility Management: Oversee the maintenance and upkeep of all facilities, ensuring safety and accessibility. Manage relationships with vendors and contractors for repairs, improvements, and regular services. Ensure compliance with Nature Center policies (e.g., safety, insurance, permitting) and support team development.
Community Engagement: Serve as a key point of contact for the community, partners, and visitors, promoting a positive image and engaging with stakeholders to enhance advancement and the center's reach and impact.
Strategic Planning: Support the Executive Director in long-term planning, identifying opportunities for operational improvements, and contributing to the sustainability of the organization.
Donor Management Software Reporting: Maintain donor records and relations using GiveSmart software.
Event Management: Schedule, coordinate, and execute special events using GiveSmart software when relevant.
Program Support: Assist with education/outreach programs, in collaboration with the Program Coordinator, and animal care, in collaboration with the Animal Care Specialist, as needed.
Fundraising: Work with the Executive Director and Board of Directors to elevate and diversify advancement initiatives.
Administrative Oversight: Manage day-to-day administrative tasks, including supplies management, IT, operations, and office systems. Oversee financial processes such as budgeting, reporting, and accounting in collaboration with the Executive Director and third-party team. Analytics and reporting.
Gift Shop Management: Oversee gift shop operations, including but not limited to sales, reporting, inventory management, vendor relations, and purchasing
REQUIRED QUALIFICATIONS
- Bachelor's degree in business administration, nonprofit management, or a related field (equivalent experience will be considered)
- 3+ years of experience in operations management, preferably in a nonprofit or environmental organization
- Proficient in the use of Microsoft Word, Powerpoint, and Excel
- Strong leadership and interpersonal skills
- Excellent organizational and multitasking abilities
- Ability to be adaptable and resourceful in a high-pace environment
- Experience with budgeting, financial reporting, and administrative systems
- Strong problem-solving skills and the ability to work independently
- Passion for environmental education, wildlife care, and conservation
PREFERRED QUALIFICATIONS
- Experience working with a nonprofit organization in a leadership role
- Experience working in a nature center and/or environmental education setting
- Knowledge of facilities management
- Experience with SquareSpace, Square POS, MailChimp, Stripe
- Experience with financial and CRM management software (i.e., GiveSmart), QuickBooks, or similar systems
WORKING CONDITIONS
- Full-time, on-site salaried position
- Typical schedule: Monday–Friday, with occasional evenings or weekends for special programs or events
- Office is located at an active Nature Center/Wildlife Refuge, which includes proximity to live animals, outdoor spaces, and educational activities
- Must be able to work with a diverse team and engage with a broad range of demographics
PHYSICAL REQUIREMENTS
- Ability to sit, stand, and walk for extended periods
- Ability to lift and carry up to 25 pounds occasionally (e.g., boxes of materials, supplies for events)
- Comfortable moving between indoor office and outdoor program spaces, as needed
