Greater Cleveland Aquarium is seeking a detail-oriented, strong communicator to join the Education and Interpretation team. The Education Administrative Assistant must be able to work independently and as part of a team. The Education Administrative Assistant is primarily responsible for booking, billing, ticketing, and organizing logistics for education programs at the Aquarium.

Summary

Job Title: Education Administrative Assistant (part-time)

Department: Education & Interpretation

Reports to: Director of Education & Interpretation

Responsibilities: 

As an Education Administrative Assistant (part-time) you will:

  • Communicate with schools, daycares, homeschool families, and scouts to book education programs, primarily through email, phone calls, and google forms
  • Maintain meticulous reservation record keeping using Microsoft Excel, shared Outlook calendars, Microsoft Word, Adobe, Focus Point software, and shared files.
  • Generate program reservation confirmations and reports
  • Orchestrate the billing and invoicing processes for the Education Department
  • Operate ticketing software for processing group payments, program ticketing for ecommerce, and track education attendance with accuracy and precision
  • Assist Program Coordinator with group sale and birthday payments as needed
  • Communicate with all Aquarium teams (education, curation, operations, marketing, guest experience, management) to ensure smooth execution of program logistics

Position Requirements:

  • Attention to detail
  • Highly organized
  • Effective and appropriate written and verbal communication
  • Proficiency using windows computers and Microsoft 360 software (Outlook, Teams, Word, Excel)
  • Patience and willingness to learn to use complex FocusPoint ticketing software
  • Prior experience in an office setting is preferred
  • Prior experience in a customer service setting preferred
  • Ability to work in-person in the Aquarium office
  • High school diploma or equivalent

Compensation Information

Starting hourly wage: $11 (up to 27 hours per week)
