Summary

Position: Volunteer Manager

DIRECT SUPERVISOR:  Director of Community Engagement

BASIC DESCRIPTION:  This position develops and manages the Volunteer program, including the application of the vision, goals, policies and procedures, and recruitment, orientation, and retention of volunteers. Provides oversight of program operations in order to ensure an exemplary volunteer experience at all levels and departments within the organization.

HIRING SALARY RANGE: $15 hourly

STRATEGIC FOCUS

PROGRAM PLANNING AND ADMINISTRATION

Work with staff to assess organizational needs, design volunteer assignments, and write job descriptions for volunteers.
Meet with staff volunteer managers to assist with overall scheduling for volunteer assignments – especially groups and short term volunteer programs
Set policies and procedures for volunteer experience and infuse into culture of organization.
Manage volunteer budget.

 

COMMUNITY ENGAGEMENT

Connecting partner interest with multiple departments in CRC, fostering a long lasting relationship with the goal of obtaining financial and volunteer support
Managing all communication via phone calls, emails, and in person inquiries about CRC Community Engagement. Overseeing all scheduling for partner requests.
Develop and implement new innovative activities for staff, interns, and volunteers to do at offsite events, highlighting CRC’s mission. Procuring and maintaining appropriate materials, resources, and signs for each activity

 

RECRUITMENT, SCREENING, and TRAINING

Identify the types of volunteers and /or skills needed for each volunteer job in conjunction with volunteer managers.
Identify sources for volunteers and connect with these organizations, groups or individuals. Schedule speaking opportunities/attend fairs for recruitment of volunteers.
Design application and interview format for new volunteers.
Schedule and conduct volunteer interviews. Screen candidates for open volunteer positions, matching the candidates to appropriate opportunities.
Develop and implement volunteer opportunities to be inclusive for all members of our community.
Oversee relevant content, resources, and policies for all volunteers on the CRC volunteer website, The Flock, keeping all content up to date.
Assist staff in managing training sessions appropriate for the volunteer position including help with scheduling and training content.
Evaluate and modify orientation and training programs on an ongoing basis.
Recruit, train, and supervise SOAR volunteers and MYEP interns each summer.

 

SUPERVISION AND GROUP VOLUNTEERS

Supervise the functionality of volunteers by regularly meeting with members of volunteer management team.
Serve as a “third party” moderator to resolve any issues that may arise between volunteers and staff members or among volunteers themselves. Serve as the next step in the “chain of command.”
Direct supervision of volunteers and interns assigned to the volunteer department.
Schedule group volunteers, being the point of contact for their visit.
Manage individual volunteer performance assessment by developing a plan for assessment, training supervisors to conduct assessment and review evaluative reports by volunteer managers of individual volunteers.

 

RECOGNITION, EVALUATION AND REPORTING

Assure ongoing volunteer motivation and appreciation by promoting a culture of welcome, courtesy motivation and productivity.
Help salaried staff demonstrate appreciation of volunteers on a day-to-day basis.
Establish methods for volunteers to express concerns and offer suggestions.
Promote communication among program participants through such devices as a monthly emails, bulletin boards, the volunteer website The Flock, and Volunteer Meet Ups and Volunteer Socials.
Plan and execute formal recognition of all volunteer services, such as the Volunteer Appreciation Lunch and Volunteer Appreciation Week activities.
Work with volunteer managers to develop career ladders for volunteers.
Develop a plan and tools for evaluation. Solicit and analyze data. Report results to organization leadership team.
Manage volunteer data system, Volgistics. Record data in an accurate, up-to-date and accessible manner.

 

OTHER

Represent the organization at community functions and with visitors.
Participate in staff meetings and other organizational meetings.
Other duties as assigned.

QUALIFICATIONS

REQUIRED:

4-year College Degree preferred.
2 years of volunteer management in a non-profit organization or similar setting preferred
Tuesday – Saturday work week
Must be comfortable working outside in various weather conditions
Experience with a volunteer or other contact management database system, such with Volgistics preferred
Ability to perform to high standards with tight and demanding time schedules.
Ability to communicate clearly and effectively with staff, volunteers, general public and media.
Ability to effectively prioritize work/goals.
Ability to work independently with minimal supervision and manage time appropriately.
Ability to lead, coach and inspire all members of the team.
Self-motivated and able to work independently
Professional manner
Ability to work with others (team oriented)
