The Coordinator will support the success of a cohort of 15 two-year post-doctoral Fellows and a National Humanities Fellowship Program by creating grant agreements, aiding budget development, guiding communications, helping to build collaboration and facilitating the implementation of this national program.

Summary

The National Park Foundation is seeking a qualified Program Coordinator to provide grants administration and program support for the National Park Service Mellon Humanities Fellow Program. Specifically, the Coordinator will support the success of a cohort of 15 two-year post-doctoral Fellows and a National Humanities Fellowship Program by creating grant agreements, researching cost to aid budget development, tracking spending, processing payment requests, guiding communications, helping to build collaborations and facilitating the implementation of this national program. 

Although this role is primarily in support of grant and program management, it offers a unique opportunity for a seasoned or emerging professional with curiosity about how national parks can help to share more inclusive history. Duties include:

The Program Coordinator plays a key role on the Mellon Humanities Fellowship project team, working with the National Park Foundation, the National Park Service, consultants, and project advisors as well as other members of the project team to support the success of two cohorts of 15 two-year post-doctoral Fellows.

Specifically, the Program Coordinator supports the NPF Program Director in a range of tasks including:

  • Activity & event planning, scheduling, cost research & budgeting, marketing, and communication; helping to organize in-person and virtual meetings, compile report information, and monitor program logistics to maintain financial records, update schedule and help to guide activity communications. Requires a proactive approach, meticulous time management commitment to problem-solving.
  • Technical support of contracts, travel, purchasing and grants management. Includes issuing invitational travel, facilitating venue and guest relations, budget tracking, scheduling and reporting.
  • Budget analysis, monitoring, tracking and reporting, including support for annual financial grant report to the Mellon Foundation, and related budget information requests. Requires attention to detail, anticipation of needs and a proactive awareness of a complex financial landscape.
  • Database management to track spending, process grants, assess reporting information and help to administer the program.
  • Communication coordination for a large, matrixed team including 15 Fellows, their national park host teams, consultants and outside advisors. Supports planning of social media and larger-scale press and video events. Help to ensure full 508-compliant accessibility for all communication.
  • Administrative support to Program Director including helping to prioritize activities requiring immediate response, maintaining weekly to-do lists, monitoring the daily/ monthly events needed to move the program forward. 
  • Team building and relationship support through communications with Fellows, host parks, partners and program stake holders, as guided by NPF Program Director. Monitor program constituents and help to assess the relationship landscape so the NPF team can authentically deliver program support.
  • Landscape assessment support to help build and update timely situational awareness of the program. All of the above responsibilities are predicated on awareness of needs, obstacles and goals of each Fellow, and of the overall program to achieve program goals.
  • Proactive anticipation for what is needed to advance workflow, solve problems and communicate actions. Affinity for working in teams, pairs or independently, as needed.
  • Support of the DEI, academic and humanities-centered program mission such that contractors, partners and other participants reflect core values of inclusivity and diversity. Tap existing networks, help to build new networks in support of the program.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES 

Basic Qualifications 

  • Minimum of three years related experience 
  • Proficient in Microsoft Office Suite/Excel; proficient in Project Management software and the creation of workflow charts, spreadsheets and timelines.
  • Facility with budgeting and setting up systems to track spending over multiple years
  • Strong written and verbal communication skills 
  • Undergraduate degree in a related field. In lieu of a degree, applicants must demonstrate relevant project management skills from prior work environments.  The applicant must document work experiences in their application.
  • Strong time management skills; ability to perform multiple concurrent and variable tasks; satisfaction using both hemispheres of your brain to complete tasks
  • Strong organizational skills to keep track of communications, tasks, and interactions
  • At ease communicating directly with staff and partners/stakeholders of varied backgrounds
  • Proven ability to work independently and be a positive, contributing member of a group
  • Demonstrate sensitivity, understanding and an ability to effectively interact with individuals (internal and external) from diverse cultural, socioeconomic, ability and ethnic backgrounds
  • Desire to help foster humanities as a means of expanding inclusivity, strengthening civic society and building a more just world
  • Commitment to this role, including proactively anticipating needs to deliver excellent program management

Preferred Experiences

  • Must be authorized to work in the U.S.
  • Proficient in English, bilingual skills a plus
  • Ability to pass a federal criminal background check
  • Verify full vaccination for COVID-19 by the start of employment or request a medical or religious exemption
  • Experience working in partnership with a federal agency, park, museum, historic site, or other cultural organization
  • Evaluation & monitoring; identify markers of effective program outcomes
  • Find personal satisfaction in work requiring both technical and creative planning

Physical Demands, Work Environment and Working Conditions

  • Physical Demands: Requires ability to work within a standard office environment
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus
  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic.
  • Travel: This position requires less than 20% annual domestic travel as needed.

Salary: $52,000
