The North Cascades Institute is seeking an Office Assistant based out of the Environmental Learning Center on Diablo Lake (WA). This is a seasonal/temporary, full-time, non-exempt position.

Summary

SUMMARY OF POSITION

Based at the Institute’s Environmental Learning Center in North Cascades National Park, the Learning Center Office Assistant works with Learning Center and Registration staff to interface between the public and the Institute. The Office Assistant is responsible for greeting and assisting visitors either in-person or phone, providing support for on-site and phone registrations, managing retail sales on the Point of Sale system, and providing administrative support for campus programs.

QUALIFICATIONS

Required:

  • Demonstrate excellent and professional customer service including verbal and phone communication, written, and interpersonal skills.
  • Self-motivated – able to work both independently and collaboratively within a team environment.

  • Must maintain confidentiality of sensitive information.
  • Ability to use a cash register or Point of Sale system.

  • NCI employees are required to have a COVID vaccination

Preferred:

  • Proficient in Microsoft Office.
  • Google Suite experience.
  • Basic experience with databases (Salesforce).
  • Fluency in multiple languages, Spanish preference.

Other Requirements:

  • Ability to comply with a smoke- and drug-free work environment.

RESPONSIBILITIES

Front Desk Support including store and merchandise sales (50%):

  • Provide customers with information and answer questions regarding Institute programs, the Learning Center, the North Cascades Institute, and the surrounding areas.
  • Assist with program check-in, manage store capacity and monitor guest compliance with COVID-19 protocols.
  • Support retail operation by processing sales transactions on the Point of Sales System.
  • Coordinate with the Retail Manager to keep the Learning Center store well stocked and tidy.

Skagit Tours Registration (25%):

  • Register participants over the counter or by phone for Skagit Tours on the weekends and as needed.
  • Process registration payments on the Point of Sales System and enter newly registered participant information into Salesforce.
  • Manage Skagit Tours waitlist, and create and distribute daily Skagit Tours Roster to ELC staff for logistical planning.

Administration for Programs and Operations (15%):

  • Provide administrative assistance to Learning Center staff in support of campus programs. Create daily and weekend rosters for Learning Center programs.
  • Collect and organize confidential registration paperwork while programs are at the Environmental Learning Center; enter data and send related paperwork to the Sedro-Woolley office after programs are complete.

Other (5%):

  • Other duties assigned may include supporting Learning Center Library space by assisting with checking in library materials, regular attendance at staff meetings and to transcribe staff meeting notes, assist with hands-to-work, support emergency response, and other projects as assigned.
  • Support equity initiatives at North Cascades Institute and actively contribute to NCI as a community of belonging that is welcoming and accessible to everyone. Develop a personal equity, diversity, and inclusion related goal(s) and track progress towards your goal(s) with your supervisor.

WORK ENVIRONMENT

  • Willingness to commute to and work in a remote National Park including experiencing snow-covered roads, avalanches, wildfire, smoke, wild animals, and flooding.
  • This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and digital projectors.
  • Varied work schedule including weekends.

PHYSICAL DEMANDS

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
  • This position requires the ability to occasionally lift office products and supplies, up to 50 pounds.

COMPENSATION

This is a temporary/seasonal, full-time, non-exempt position. The wage is $16.00 per hour and benefits include sick leave and holiday pay.

HOUSING

Shared rental housing may be available for the duration of the position, either at the Learning Center or in the neighboring town of Marblemount. Meals are provided when programs are in session; otherwise, instructors are responsible for providing their own food. Employees are responsible for their own health insurance and transportation (which is strongly encouraged). Smoking is not allowed in housing, during programs, or on the Institute’s campus. Pets are not allowed on the Institute’s campus.
