The Ecology School— a nonprofit residential environmental learning center located in Saco, Maine — seeks a full-time Business Manager. This position will provide coordination and implementation of The Ecology School’s business operations including accounting, finance, and human resources. The Business Manager will work closely with the President/CEO, Administrative Leadership Team (incl. Director of Operations & Food Services, Director of Learning Experiences, and Business Development Manager), and Board of Directors to help ensure the efficiency, growth, and success of The Ecology School’s mission: to inspire stewardship of and connection to the natural world through experiential learning in ecology, conservation, farming, and sustainability.

Summary

Position Description:

The Business Manager is a full-time position for this organization and this person will be responsible for The Ecology School’s business operations including accounting, finance, and human resources. The Business Manager will report directly to the President/CEO and work closely with the Administrative Leadership Team (incl. Director of Operations & Food Services, Director of Learning Experiences, and Business Development Manager) and The Ecology School’s Board of Directors. 

The Business Manager duties will include:

  • Weekly bookkeeping and accounting including payroll and bank deposits using QuickBooks.
  • Accounts payable and accounts receivable.
  • Preparation of monthly, quarterly, and annual financial reporting materials using Budgyt.
  • Oversee budgeting, financial forecasting, and cash flow for administration, programs, and facilities including departmental quarterly reporting and monthly reconciliations between Raiser's Edge, Campwise and QuickBooks.
  • Direct financial, project-based, and departmental accounting including assisting with grant application budgets, and grant reporting as well as the accounting necessary for tracking program and site rental registrations and payments.
  • Set up processes to track and reconcile pledges and tuition deposits/payments.
  • Coordinate audit activities. 
  • Work to meet IT needs (hardware and software) as the organization grows.
  • Coordinate Human Resource activities including hiring & work policies, onboarding of staff, and staff benefits.
  • Bank reporting including ensuring covenant compliance.
  • Maintain appropriate back up records.
  • Work with President/CEO on ad hoc profitability/financial analysis as needed.
  • Oversee insurance.
  • Ensure appropriate internal financial controls are in place and practiced.

Skills and Attributes:

  • Excellent people skills, with experience collaborating in a multidisciplinary, diverse, and dynamic team.
  • Demonstrated experience in financial management and accounting, ideally in the nonprofit sector.
  • Experience should include legal, audit, compliance, budget, and resource development.
  • Demonstrated resourcefulness in setting priorities, proposing new ways of creating efficiencies, and guiding investment in people and systems.
  • Proven effectiveness in finance and accounting.
  • Technologically savvy, with an ability to point to examples of having worked with IT professionals to develop and implement new processes and systems that increased efficiency.
  • Flexible and a self-starter with the ability to multitask while also being highly detail oriented.
  • Enthusiasm for collaboration, teamwork, creativity, innovation, and sustainable growth.
  • Demonstrated excellence in organizational and communication skills.

Compensation Information

The Business Manager is a full-time position with benefits including HMO health insurance, employer matched retirement Simple IRA, generous personal and holiday/vacation days package, and competitive annual salary of $65,000-$75,000 commensurate with experience. Flexible schedule and work expectations are that at least 50% of time is spent onsite and that remaining work can be accomplished remotely.
