Summary
Join #TeamDEM! As the Division of Fish and Wildlife Administrative Assistant, you will work with the Chief Implementation Aide on a wide variety of projects and projects related to certification programs, outdoor recreation licensing and permitting, database and file management, outreach and technical assistance with wildlife and fisheries, writing and editing internal and external documents and publications, and office equipment requisition and management.
Basic Job Requirements
Contractual employee will work in a joint capacity with the Wildlife Management Institute (WMI) and the Rhode Island Department of Environmental Management (RIDEM), Division of Fish and Wildlife, (DFW) to provide support to the Chief Implementation Aide with administrative projects and programs. The incumbent will work out of the RIDEM Division of Fish and Wildlife headquarters in West Kingston, Rhode Island, with occasional travel state-wide. This position will be classified as a limited term employee of the WMI. Direct supervision of day-to-day activities will be provided by RIDEM.
Employee will aid with program administration, customer service and technical assistance with natural resource conservation and management programs. This includes aiding the public, Department staff, and external organizations and agencies with regards to DFW programs, wildlife technical assistance, inquiries regarding hunting, trapping and fishing regulations, licensing and permitting.
Applicants must be proficient at communicating with the public, stakeholder groups, and professionals, both orally and through written communication, as well as in person. Additionally, applicants must possess strong organizational skills, and able to work both independently and in collaboration with staff.
Education
Such as may have been gained through the successful completion of at least two years of academic study in an accredited institution of higher education, and as may have been gained through considerable employment in a position of state government assisting state officials by performing, moderately complex administrative and supportive tasks involved in the administration of major projects and programs.
Responsibilities
Provide technical assistance to the Chief Implementation Aide on a wide variety of projects and programs, including the state Handgun Safety Certification Program, outdoor recreation licensing and permitting, database and file management, outreach and technical assistance with wildlife and fisheries, writing and editing internal and external documents and publications, and office equipment requisition and management.
Must have, or be able to obtain, a valid Rhode Island driver’s license. Requires satisfactory completion of a criminal background check.
As a WMI Employee:
Work independently in a joint capacity with the WMI and RIDEM to provide Administrative Assistant services to RIDEM. The incumbent will work out of the RIDEM Division of Fish and Wildlife headquarters in South Kingstown, Rhode Island. The work area will be statewide; however, duties may require attendance at meetings throughout Rhode Island, or out of state. This position will be classified as a limited term employee of the WMI. Direct supervision of day-to-day activities will be provided by RIDEM.
Limited-term employees are defined as employees of WMI retained to provide a specific scope of services as defined within one or more grants or contracts awarded to WMI. WMI bases your employment upon your skills and knowledge and ability to achieve desired outcomes defined by RIDEM.
- You will be expected to work no more than an average of 35 hours per week in any 12-month period. This position is initially entitled to 10 vacation days, 4 personal days, 14 sick days and 10 or 11 paid holidays annually.
- You will be eligible for WMI 401(k) retirement benefits and WMI will provide workers’ compensation, general liability protection, professional liability protection and unemployment insurance benefits. WMI will withhold taxes including social security. This position is not part of the state health insurance system and the annual salary reflects an ability to acquire insurance personally.
- WMI will reimburse you for any travel expenses that are necessary and reasonable to perform the duties assigned to you.
Preference will be given for:
- Knowledge and skill typically acquired through a Bachelor’s degree from an accredited four-year institution.
- Five or more years’ of experience is customer service, specifically in a public-facing capacity, as well as via phone and email.
- Experience working in an office setting, specifically in an office administrative capacity.
- Proficiency in computer skills and with programs such as Microsoft Office, Zoom, Teams, Rhode Island Outdoors (RIO) licensing system and SharePoint.
- Knowledge of and experience with Rhode Island wildlife, fishes, natural resource state and federal laws and regulations, and wildlife outreach and technical assistance.
